CareWorks ABA is a multi-state provider of Applied Behavior Analysis (ABA) therapy for children and young adults with autism spectrum disorder. The organization delivers center-based, in-home, and community-based services across Virginia, North Carolina, and New Jersey. The Challenge
As CareWorks ABA expanded across state lines, managing its intake pipeline and multi-region growth using manual Excel tracking spreadsheets created severe operational bottlenecks. Managing patient data solely within CentralReach resulted in misclassified intake entries and skewed performance metrics. Additionally, matching Board Certified Behavior Analysts (BCBAs) to incoming cases relied on human memory and fragmented communication across teams.
The Solution

- Bidirectional CentralReach Integration: Established an hourly sync via Pulse Connect—referrals automatically provision client profiles in CentralReach, while active authorizations, client availability, and care delivery metrics sync back to Pulse.
- Intelligent BCBA Staffing & Case Matching: Built an interactive matching module featuring geographic map overlays and scheduling filters to match incoming patients with credentialed local BCBAs based on service line (Center, Home/Community, or Hybrid) and real-time availability.
- Data Integrity & Automated Compliance: Embedded mandatory validation logic enforcing exact child-name mapping to prevent downstream CentralReach sync errors, alongside clinical rules that automatically route non-diagnosed leads out of the active funnel.
- Enterprise Infrastructure & Adoption: Configured Microsoft Single Sign-On (SSO) and Outlook calendar integrations to streamline daily user adoption and maintain enterprise security.
